Planning Priorities

A practical office lighting plan starts with the work being performed

Office lighting should support concentration, communication and movement while limiting glare, screen reflections and unnecessary energy use. A suitable scheme normally combines ambient, task and accent lighting instead of applying one fixture type and one output level throughout the building.

Ceiling conditions, workstation layout, room height, daylight, surface reflectance, control requirements and maintenance access all influence the final selection. The figures below are useful for early planning, but they should be checked against project drawings, local requirements and the lighting calculations for the actual space.

Open workspaces

Place light in relation to desk rows and circulation routes. Continuous or modular LED linear lights can provide orderly, uniform ambient illumination, while LED downlights can support circulation zones, breakout areas and ceiling layouts that need greater flexibility. Control direct glare and reflected glare on monitors rather than selecting fixtures by lumen output alone.

Meeting rooms

Meeting rooms may need separate scenes for discussion, video calls and presentations. Coordinate light over the table with vertical illumination on faces and walls. Dimmable ambient lighting, controlled downlights and selected LED spotlights can provide this flexibility without over-lighting display screens.

Private offices

Private offices benefit from balanced task, ambient and vertical lighting. Avoid placing high-intensity luminaires directly in the primary screen-viewing direction. Local task lighting can supplement the ceiling system when detailed work requires a higher level.

Reception areas

Reception lighting should support orientation, staff tasks and the visual identity of the workplace. Combine comfortable general illumination with controlled emphasis on the reception desk, logo wall or architectural surfaces. Concealed LED strip lights can provide soft linear accents when integrated into joinery or coves.

Corridors and shared areas

Corridors, printing areas, pantries and informal meeting zones need clear circulation and appropriate light for their specific activities. Occupancy sensors, scheduling and zoning can reduce energy use where traffic is intermittent.

Daylight coordination

Daylight should be treated as part of the lighting plan. Position sensors and control zones according to façade orientation and workstation layout. Daylight-linked dimming can maintain useful light levels while reducing unnecessary output near windows.

Fixture selection

LED linear lights are often considered for open offices and meeting tables; downlights for circulation, reception and cellular rooms; spotlights for controlled accents; and strip lights for indirect or architectural details. The final choice depends on ceiling system, spacing, maintenance and visual goals.

Colour temperature

Approximately 3000K may suit hospitality-style reception or executive areas, 3500K can provide a balanced transition, and 4000K is widely considered for task-oriented offices. Consistency between connected areas is normally important.

Colour rendering

CRI 80 may be sufficient for many general office areas, while CRI 90+ is often preferred for reception, material review, client-facing rooms or spaces where colour appearance matters. Some specialised tasks may justify higher values.

Beam angle

Narrow beams around 15°–24° can create accents; 24°–36° may suit controlled feature lighting; and 36°–60° or wider distributions are commonly considered for general illumination. Mounting height and spacing must be checked.

Glare control

Deep reflectors, suitable shielding, optical control and thoughtful positioning can reduce direct glare. Luminaire orientation, desk position and screen angle should be reviewed together to manage reflections.

Controls

Options may include switched zones, 0–10V or DALI dimming, occupancy sensors, daylight sensors, scheduling and scene control. The selected method should match the electrical design, commissioning capability and operating needs.
